Project Details & Templates
Project Details & Templates
The first tab of the phase plan creation wizard is where you select a template, link a project, and define the core details of your phase plan document.
Template Selection
Choose how to start your phase plan using the template radio group. Three options are available:
- Start from Scratch — creates a blank phase plan document with no pre-filled content. Use this when your project does not match any existing template.
- System Templates — provided by NexusRMS and cover common event types such as concerts, festivals, and corporate events. System templates are read-only and cannot be edited or deleted by users.
- Custom Templates — created by your organisation from previous phase plans. Custom templates are fully editable and deletable. Each displays a usage count showing how many phase plans have been created from it.
Template Fields
| Field | Description |
|---|---|
| Name | The display name of the template |
| Description | A brief summary of what the template covers |
| Is System Template | Whether the template is NexusRMS-provided (read-only) or user-created |
| Template Sections | A JSON structure containing the pre-filled content for each wizard tab |
| Usage Count | The number of phase plans created from this template, incremented on each use |
| Last Used At | The date and time this template was last selected for a new phase plan |
Project Selection
Use the autocomplete dropdown to search for and select an existing project. Once a project is selected, the following fields are automatically populated:
- Project Title — from the project name (editable after population)
- Venue Address — from the project venue, or the client's registered address if no venue is set (editable)
- Scope of Works — a summary generated from the equipment categories assigned to the project (editable)
- Start Date — from the project schedule start date
- End Date — from the project schedule end date
All auto-populated fields can be manually adjusted after population. If no project is selected, all fields must be completed manually.
Equipment-Based Hazard Auto-Suggestion
When a project is selected, NexusRMS analyses the equipment categories assigned to it and automatically suggests relevant hazards for the Hazards tab. The mapping is as follows:
| Equipment Category | Suggested Hazard Group |
|---|---|
| LED | LED Screen hazards |
| Speaker | Audio hazards |
| Truss | Rigging hazards |
| Lighting | Lighting hazards |
| Projector | Projection hazards |
| Stage | Stage hazards |
In addition to equipment-specific suggestions, the general Staff hazard group is always included regardless of the equipment assigned to the project. This covers common workplace hazards such as manual handling, slips and trips, and working at height.
Hazard suggestions are presented as pre-selected options on the Hazards tab. You can deselect any that are not relevant or add further hazards from the full library.
