Phase Planning Overview
The Phase Planning module provides professional phase plan documents for event production and construction projects. It combines integrated risk management, a comprehensive hazard library, digital crew inductions, and automated PDF generation into a single streamlined workflow. Phase Planning is available as a paid addon at +£49/month.
Key Concepts
- PhasePlanDocument — the primary document type, designed for event production phase plans
- ConstructionPhasePlan — an extended document type compliant with CDM 2015 regulations for construction projects
- HazardLibrary — a library of 100+ pre-seeded hazards shared with the RAMS module, covering rigging, electrical, audio, lighting, staging, and more
- SafeSystemLibrary — 40+ pre-seeded safe systems of work, each linked to relevant hazard categories
- PhasePlanInduction — digital crew sign-off via QR code, replacing paper-based induction sheets
Document Numbering
Every phase plan receives an automatically generated document number in the format PPL-YYYY-NNNN, for example PPL-2025-0042. The number increments sequentially per tenant and cannot be manually overridden.
Document Workflow
Phase plans follow a five-stage lifecycle:
- Draft — initial creation, fully editable by all permitted users
- Under Review — submitted for approval, editable only by the document author and CoreAdmins
- Approved — locked for editing, ready for distribution to crew
- Active — the project is in progress, crew inductions are being collected
- Completed — the project has finished, the document is archived for record-keeping
Nine-Tab Creation Wizard
Creating a phase plan uses a guided nine-tab wizard that walks you through every section of the document:

Crew Induction
Each approved phase plan generates a unique QR code that crew members scan on arrival at site. The induction process supports three authentication methods:
- Staff Login — existing NexusRMS users sign in with their credentials
- Freelancer Node — freelancers authenticate via their Nexus Node profile
- Guest — visitors provide their name, company, and signature without requiring an account
Induction progress is tracked in real time, showing how many crew members have signed off against the total expected headcount.
PDF Generation
Phase plans can be exported as professionally formatted PDF documents of approximately 20 pages. PDF generation uses Browsershot (headless Chrome) to render the document with full styling, tables, risk matrices, and company branding.
Relationship to RAMS
The Phase Planning and RAMS modules share the same hazard library. Hazards identified in a phase plan can be directly linked to RAMS documents for the same project, ensuring consistency across all safety documentation. If you subscribe to both modules, hazard updates in one are reflected in the other.

The Phase Planning module adds two items to the sidebar navigation:
- Phase Plans — view and manage all existing phase plan documents
- Create Phase Plan — launch the nine-tab creation wizard
