Report Library

The Report Library contains 50+ pre-built report templates organised into seven categories. Each template is ready to run with a single click — select a date range, choose a report, and the system generates results with summary statistics, a chart, and a data table.

Equipment reports

Equipment reports analyse your rental inventory’s performance and condition:

  • Equipment Utilisation — Percentage of time each item is on hire versus sitting idle, displayed as progress bars colour-coded green (≥80%), amber (60–79%), and red (<60%)
  • Availability Overview — Current stock levels across all warehouses, showing available, reserved, checked-out, and in-repair counts
  • Top-Rented Items — Ranked list of your highest-demand equipment by booking count and revenue generated
  • Maintenance Costs — Total repair spend per item and per category over the selected period
  • Depreciation Report — Purchase price versus current replacement value, showing depreciation rates and remaining asset value
  • Condition Tracking — Breakdown of items by condition status (Excellent, Good, Fair, Poor, Damaged) with trend over time

Project reports

Project reports measure how your bookings and events are performing financially and operationally:

  • Project Profitability — Revenue minus costs for each project, with profit margin chips colour-coded green (>60%), orange (40–60%), and red (<40%)
  • Timeline Compliance — Percentage of projects completed on schedule versus those that overran
  • Resource Allocation — Equipment and crew utilisation across active projects, highlighting over- and under-allocated resources
  • Completion Rates — Ratio of completed projects to total projects by week, month, or quarter
  • Revenue by Project Type — Revenue breakdown by project type (e.g. corporate, festival, wedding, conference)

Financial reports

Financial reports cover your revenue, payments, and accounting metrics. Access requires the roles_can_view_financial permission:

  • Revenue Analysis — Total revenue over time with trend lines and year-on-year comparison
  • Payment Collection — How quickly invoices are being paid, average days to payment, and collection rate percentage
  • Aged Receivables — Outstanding invoices grouped by age bands (0–30, 31–60, 61–90, 90+ days)
  • Cash Flow — Money in versus money out over the selected period, including projected receivables
  • Profit & Loss — Revenue, cost of goods, operating expenses, and net profit summary
  • Tax Summary — VAT collected and VAT paid, with net liability calculation for the period

Client reports

Client reports help you understand your customer base and identify high-value relationships:

  • Revenue per Client — Total revenue generated by each client, sortable by amount and filterable by date range
  • Client Health Scores — Composite score based on booking frequency, payment behaviour, and communication recency
  • Retention Rates — Percentage of clients who booked again within a specified period after their first project
  • Booking Frequency — Average number of bookings per client per month, quarter, or year
  • Lifetime Value — Estimated total revenue each client will generate based on historical patterns

Crew reports

Crew reports track your staff and freelancer performance and compliance:

  • Hours Worked — Total hours logged by each crew member over the selected period, broken down by project
  • Overtime Analysis — Hours worked beyond contracted limits, with associated cost impact
  • Scheduling Efficiency — Ratio of scheduled hours to actual hours worked, identifying gaps and overbooking
  • Certification Compliance — Crew members with expired or soon-to-expire certifications and PLI documents
  • Performance Ratings — Average performance scores from project reviews, ranked by crew member

Warehouse reports

Warehouse reports monitor your storage, logistics, and inventory operations:

  • Stock Levels — Current quantity available versus total owned for every item, filterable by warehouse location
  • Check-In/Out Volumes — Number of items checked in and out per day, week, or month, showing peak activity periods
  • Packing Efficiency — Time taken to complete packing lists relative to project size, identifying bottlenecks
  • Location Utilisation — Storage space usage across warehouses and bays, highlighting under-used and overcrowded areas

Cross-module reports

Cross-module reports combine data from multiple areas for a holistic business view:

  • Subrental Profitability — Revenue and margin analysis for subrentals, comparing in-house versus externally sourced equipment
  • Overall Business Health — A composite dashboard combining revenue trends, utilisation rates, client retention, and cash flow into a single summary
  • Period Comparisons — Side-by-side comparison of any two date ranges across all key metrics

Featured reports

Reports marked with a blue Featured chip in the library are the most commonly used templates. These appear at the top of each category when browsing and include reports such as Equipment Utilisation, Project Profitability, Revenue Analysis, and Aged Receivables.

Searching and filtering

Use the category sidebar to filter reports by category. Click a category to show only its reports; click again to deselect and see all templates. The report count chip on each category row updates to reflect the number of available templates.
