The Analytics module gives you full visibility into every aspect of your rental business. With 50+ pre-built report templates, a custom report builder, real-time KPI tracking, and optional AI-powered predictions, you can measure performance, spot trends, and make data-driven decisions — all from a single dashboard.

What’s included

Every NexusRMS plan includes the full Analytics & Reporting module as part of the core platform:

  • 50+ pre-built report templates — Ready-to-run reports covering equipment, projects, financials, clients, crew, warehouse, and cross-module analysis
  • Custom report builder — Build your own reports from 8 data sources (Projects, Equipment, Clients, Invoices, Crew, Time Entries, Payments, Quotes) with field selection, filters, grouping, and aggregation
  • 11 chart types — Line, Bar, Pie, Donut, Area, Scatter, Heatmap, Funnel, Gauge, Tree Map, and Table Only
  • Real-time KPI tracking — Live metrics for revenue, projects, equipment utilisation, invoices, and crew, updated via WebSocket with a 30-second polling fallback
  • Report scheduling — Automate recurring reports delivered daily, weekly, or monthly to specified email recipients
  • Export in three formats — PDF, Excel (XLSX), and CSV with configurable row limits up to 100,000
  • Role-based access control — Restrict who can view reports, export data, create custom reports, and access financial figures

Analytics & AI addon

For organisations that want predictive intelligence, the Analytics & AI paid addon (£79/month) adds:

  • Demand forecasting — Machine-learning predictions for equipment demand with purchase recommendations, powered by the DemandForecastEngine
  • Client churn prediction — Risk scores identifying clients likely to stop booking, calculated by the ChurnRiskCalculator
  • Predictive revenue modelling — Forward-looking revenue projections based on historical patterns, generated by the PredictiveRevenueCalculator
  • Confidence scoring — Every prediction includes a confidence percentage so you know how reliable it is
  • Manual retraining — Retrain models on demand when your data changes significantly

Navigation

To access the Analytics module, click Dashboards in the left-hand sidebar, then select Analytics. This opens the main Analytics & Reports page at /analytics.

Report categories

All 50+ reports are organised into seven categories, each with its own icon and colour in the sidebar:

  1. Equipment — Utilisation, availability, top-rented items, maintenance costs, depreciation, condition tracking
  2. Projects — Profitability, timeline compliance, resource allocation, completion rates, revenue by project type
  3. Financial — Revenue analysis, payment collection, aged receivables, cash flow, profit & loss, tax summary
  4. Clients — Revenue per client, health scores, retention rates, booking frequency, lifetime value
  5. Crew — Hours worked, overtime analysis, scheduling efficiency, certification compliance, performance ratings
  6. Warehouse — Stock levels, check-in/out volumes, packing efficiency, location utilisation
  7. Cross-Module — Subrental profitability, overall business health, period-over-period comparisons

Tips for getting started

  • Run a featured report first — Featured reports (marked with a blue chip in the library) are the most commonly used templates and give you an instant picture of business health
  • Set your fiscal year — Go to Configuration > Analytics Settings > General and set the Fiscal Year Start Month so that year-to-date figures align with your accounting periods
  • Configure role permissions — Under Configuration > Analytics Settings > Role Permissions, decide which roles can view financial reports to protect sensitive revenue data
  • Try the custom builder — Click the Custom Report button on the analytics page to build a report tailored to your exact requirements
  • Schedule your top reports — Use the Schedule button in the report viewer to receive key reports by email automatically each week or month
