Form Submissions & Lead Management

Every response to a published form is captured as a submission. NexusRMS provides a complete lead management workflow so your team can track, assign, and follow up on every enquiry that comes through your forms.

Viewing Submissions

Open any form and navigate to the Submissions tab to see all responses. Each submission displays the date, submitter details, current status, and assigned team member. Click a submission to view the full response data.

  • Submission data is stored as JSON containing all field responses
  • The submitter's email address, IP address, and user agent are captured automatically
  • If the submitter was logged in, their user ID is linked to the submission
  • Submissions are listed in reverse chronological order by default

Submission Statuses

Each submission follows a status workflow that helps your team track progress from initial receipt through to resolution.

Status Description
New Initial status when a form is submitted — awaiting review
Contacted A team member has reached out to the submitter
Converted The submitter became a customer or the enquiry was successful
Spam The submission has been flagged as spam or irrelevant
Archived The submission is closed and no further action is needed

The typical workflow progresses as: newcontactedconverted, spam, or archived.

Assignment & Collaboration

Assign submissions to specific team members so that responsibility is clear and nothing falls through the cracks.

  • Assign a submission to any team member from the submission detail page
  • The assigned member receives a notification about the new assignment
  • Add timestamped internal notes for team collaboration
  • Notes are visible only to your team — never shown to the submitter

Filtering & Searching

Use filters to quickly find the submissions you need. Multiple filters can be combined for precise results.

  • Search — search by submitter email or any field data
  • Status filter — show only submissions with a specific status
  • Assignment filter — show assigned or unassigned submissions
  • Recent filter — show submissions from the last 7 days

Bulk Actions

Select multiple submissions to perform actions in bulk, saving time when managing large volumes of responses.

  • Change status — update the status of all selected submissions at once
  • Assign — assign all selected submissions to a team member
  • Export — download selected submissions as a file

Linked Records

When a submission triggers the auto-create feature, the resulting record is linked directly to the submission. You can click through to view the client, project, or other record that was generated from the form data.

Exporting Submissions

Download your submission data for external analysis or reporting. NexusRMS supports two export formats.

  • CSV — comma-separated values, compatible with any spreadsheet application
  • Excel — native Excel format with column headers and formatting

Tips for Effective Lead Management

  • Respond to new submissions as quickly as possible to maximise conversion
  • Use statuses consistently so your team has a clear picture of the pipeline
  • Add internal notes when handing off a submission to another team member
  • Review unassigned submissions regularly to ensure nothing is overlooked
  • Export data periodically for reporting and trend analysis
