Form Publishing & Sharing
Once your form is ready, publishing makes it accessible to the public. NexusRMS provides multiple sharing options and tracks engagement so you can measure how effectively your forms reach their audience.
Publishing a Form
Every form starts in draft status. When you are satisfied with the layout and field configuration, change the status to published to make it live. The system records the exact date and time of publication for your reference.
- Navigate to the form editor and click Publish in the toolbar
- The form status changes from draft to published immediately
- A published date is recorded and displayed on the form list
- The public URL becomes active and accessible without login
Public URL & Slug
Each published form receives a public URL in the format {subdomain}.nexusrms.io/form/{slug}. No login is required to view or submit the form. The slug is auto-generated from the form name but can be edited before publishing.
- Slugs are lowercase, hyphenated versions of the form name
- Edit the slug before publishing to create a memorable, clean URL
- Once published, changing the slug will break any previously shared links
- Slugs must be unique within your organisation
Sharing Options
NexusRMS offers three ways to distribute your published form to your audience.
- Direct link — copy the public URL and paste it into emails, messages, or social media posts
- Embed in website — generate an iframe embed code to place the form directly on your company website
- QR code — download a QR code image that links to the form URL, ideal for printed materials and physical locations
View & Submission Counters
NexusRMS automatically tracks engagement on every published form through two counters.

| Submission counter | Increments each time a visitor successfully submits the form |
| Conversion rate | Calculated as submissions ÷ views × 100, displayed on the form list |
Unpublishing & Re-Publishing
You can take a form offline at any time without deleting it. Unpublishing deactivates the public URL so visitors receive a 404 page. Re-publishing reactivates the same URL, meaning any previously shared links will work again.
- Unpublish — deactivates the form URL; visitors see a 404 error
- Re-publish — reactivates the same URL; no need to reshare links
- Unpublishing does not delete existing submissions or analytics data
Archiving Forms
Archiving is a permanent way to retire a form. An archived form is hidden from your admin form list and its public URL returns a 404 to any visitors. Use archiving for forms that are no longer needed but whose submission data you wish to retain.
- Archived forms are hidden from the default admin list view
- The public URL returns a 404 error to visitors
- All submission data and analytics are preserved
- You can filter the form list to show archived forms if needed
Tips for Effective Sharing
- Include the direct link in email signatures and newsletters to maximise reach
- Embed the form on your company website for a seamless visitor experience
- Print the QR code on business cards, flyers, or signage at physical locations
- Monitor the conversion rate regularly — a low rate may indicate the form is too long or confusing
- Use a short, descriptive slug so the URL is easy to read and remember
