Form Notifications
Form notifications keep your team informed the moment a new submission arrives and reassure submitters that their response has been received. NexusRMS supports two distinct notification types — submitter confirmations and team alerts — ensuring no submission goes unnoticed.
Notification Types
Every form can trigger two independent notification channels:
- Submitter Confirmation — an automatic email sent to the person who submitted the form, confirming that their response has been received. This email is addressed to the value captured in the form's email field.
- Team Notification — an email sent to one or more specified team members whenever a new submission arrives. This ensures the right people can act on incoming data without delay.
Configurable Recipients
Team notifications support multiple recipient email addresses. You can add as many addresses as needed, ensuring that all relevant team members — sales staff, project managers, or administrators — receive alerts for submissions that concern them. Recipients are configured per form, so different forms can notify different teams.
Email Delivery
All notification emails are delivered via the Postmark transactional email service. Postmark ensures high deliverability and fast delivery times, so notifications reach inboxes within seconds of a submission being recorded. Delivery status is tracked and any failures are logged for review.
Notification Content
Each notification email includes the following information:
- The name of the form that received the submission
- The date and time of the submission
- Key field values from the submission (e.g. name, email, message)
- A link to view the full submission within NexusRMS (team notifications only)
Submitter Email
The submitter confirmation email is sent to the address captured in the form's designated email field. If the form does not include an email field, or the submitter leaves it blank, no confirmation email is sent. Ensure your form includes an email field if you wish to use this feature.
Real-Time In-App Alerts
In addition to email, NexusRMS delivers a real-time in-app notification via WebSocket when a new submission arrives. Team members who are logged in will see an instant alert in the notification panel, allowing them to review the submission immediately without waiting for email delivery.
Enabling Notifications
To configure notifications for a form:
- Open the form in the form builder and navigate to Settings.
- Under Notification Settings, toggle on Submitter Confirmation to send receipt emails to submitters.
- Toggle on Team Notification to alert your team of new submissions.
- Add one or more recipient email addresses for team notifications.
- Save the form settings to apply changes.
Both notification types are independent — you can enable one, both, or neither depending on your requirements.
Tips
- Always enable team notifications for lead-capture forms — fast response times to enquiries significantly improve conversion rates.
- Use submitter confirmations to set expectations — include information about expected response times so submitters know when to expect a reply from your team.
- Review notification recipient lists periodically to ensure the right people are receiving alerts, especially after staff changes.
- Check Postmark delivery logs if a recipient reports missing notifications to diagnose any delivery issues.
