Performance Reviews

Performance reviews help you track and improve crew performance over time. By rating crew members across multiple dimensions and providing written feedback, you build a comprehensive performance history that informs future scheduling decisions and supports professional development.

Purpose of performance reviews

Regular performance reviews serve several important functions within NexusRMS:

  • Track performance trends — See how a crew member's performance evolves across projects and over time
  • Inform scheduling decisions — When choosing between available crew members, ratings help you select the best person for the job
  • Support professional development — Constructive feedback on strengths and areas for improvement helps crew members grow
  • Build a reliable crew — Over time, consistent reviews reveal your most dependable team members and highlight those who may need additional training or support

Rating dimensions

Each performance review includes up to five rating dimensions, all scored on a scale of 1–5:

  • Overall Rating (required) — A general performance score that summarises the crew member's contribution. This is the only mandatory rating and is always displayed on the crew list.
  • Punctuality (optional) — Timeliness and reliability. Did they arrive on time? Were they ready to start when expected?
  • Quality (optional) — Quality of work delivered. Was the output up to the expected standard? Did it meet or exceed requirements?
  • Communication (optional) — Responsiveness and clarity. Were they easy to reach? Did they communicate issues proactively?
  • Teamwork (optional) — Collaboration and team contribution. Did they work well with others? Were they supportive and cooperative?

The optional dimensions allow you to provide more granular feedback when it is relevant. For a quick review after a straightforward job, the overall rating alone may be sufficient. For complex projects or when addressing specific performance concerns, the additional dimensions add valuable detail.

Review fields

A complete performance review includes the following fields:

  • Crew member — The person being reviewed. This can be an internal staff member or a connected freelancer.
  • Project (optional) — Link the review to a specific project. This is recommended but not required — you can also create general reviews that are not tied to any particular project.
  • Reviewed by — The user creating the review. This is recorded automatically based on the logged-in user.
  • Review date — The date of the review. Defaults to today but can be adjusted if you are reviewing a past project.
  • Review text — The main narrative review. This is your opportunity to provide detailed feedback on the crew member's performance, including specific examples and observations.
  • Strengths — Identified strong points. Highlight what the crew member did well and what you want to see them continue doing.
  • Areas for improvement — Growth opportunities. Be specific about what could be improved and, where possible, suggest how.

Crew response

Performance reviews in NexusRMS are a two-way process. After a review is submitted, the crew member can respond:

  • Response text — The crew member can write a response to the review, acknowledging feedback, providing context, or raising concerns
  • Response timestamp — The date and time of the response is recorded automatically (responded_at) for audit purposes

Encouraging crew members to respond to reviews fosters open communication and ensures that feedback is a dialogue rather than a one-way judgement. Responses are visible to the reviewer and to Core Admins.

Average rating calculation

NexusRMS automatically calculates an average rating for each crew member based on all their performance reviews:

  • The average is calculated across all rating dimensions provided in each review (overall, punctuality, quality, communication, and teamwork)
  • This calculated average updates the crew member's average_rating field, which is stored on their profile
  • The average rating is displayed as a star rating on the Crew List page, making it easy to compare crew members at a glance
  • On the crew member's detail page, the average rating appears in a metrics card alongside other key statistics such as jobs completed and hours worked

Ratings are recalculated each time a new review is submitted, ensuring the displayed average always reflects the most current data.

Where to find reviews

Performance reviews are accessible from two locations:

  • Crew member detail page — Navigate to any crew member and select the Reviews tab to see all reviews for that person, ordered by date. Each review displays the rating dimensions, review text, strengths, areas for improvement, and any crew response.
  • Project completion reports — When reviewing a completed project, performance reviews submitted for crew who worked on that project are included in the project summary. This provides a convenient overview of crew performance in the context of each job.

Tips

  • Review after every project — Make it a habit to submit reviews promptly after each project while the details are fresh. Delayed reviews tend to be less specific and less useful.
  • Be specific in strengths and improvements — Instead of writing "good work," describe what was good: "Arrived 30 minutes early to help with setup and took initiative on cable runs without being asked." Specific feedback is actionable.
  • Encourage crew responses — Let your crew know that you value their perspective. A crew member who feels heard is more likely to be engaged and motivated.
  • Use all five dimensions for comprehensive feedback — While only the overall rating is required, filling in punctuality, quality, communication, and teamwork provides a much richer picture of performance and helps identify specific areas for development.
  • Review freelancers consistently — Freelancer reviews contribute to both your internal rating and their platform-wide average rating. Consistent reviewing helps the entire NexusRMS community identify reliable freelancers.
  • Use project-linked reviews — Whenever possible, link reviews to the specific project. This creates a clear record of performance by job and makes it easier to identify patterns across different types of work.
