Crew Member Detail Page

The Crew Member Detail page provides a complete view of a single crew member. It opens with the Overview tab selected by default and offers a tabbed interface for accessing every aspect of the person — from personal information and certifications to timesheets and project assignments. Tab data loads lazily when clicked, so the page stays fast even for crew members with extensive histories.

Page header

The detail page header displays key information about the crew member at a glance:

  • Name — Full name with avatar displayed prominently
  • Employee Number — The unique identifier in EMP-XXXX format
  • Hire Date — The date the crew member joined or was first engaged
  • Status Chip — Colour-coded: green for Active, grey for Inactive, amber for On Leave, red for Terminated
  • Employment Type Chip — Full Time, Part Time, Freelance, or Contractor
  • Driver Chip — Displayed only if the crew member holds a valid driving licence, indicating they can be assigned to transport duties

The header also includes action buttons:

  • Clock In / Clock Out — Manually trigger a clock event for this crew member (useful for admin corrections)
  • Edit — Opens the edit form with all fields pre-populated
  • Actions Menu — Additional options including Send Message, Assign to Project, Change Status, Print Profile, and Delete

Performance metrics

Below the header, four metric cards summarise the crew member's key performance data:

  • Total Hours Worked — Cumulative hours from all approved timesheet entries
  • Total Projects — Number of projects this crew member has been assigned to (both current and historical)
  • Hourly Rate — The crew member's current default hourly rate, displayed in the tenant's default currency
  • Average Rating — The mean of all performance review ratings, displayed as a star icon with a numeric value out of 5

Tab 1 — Overview

The Overview tab is the default landing view and presents a summary of the crew member's most important information, organised into clearly labelled sections.

Personal information

  • Email — Primary email address with a click-to-copy action
  • Phone — Primary phone number with click-to-call on mobile devices
  • Date of Birth — Formatted date
  • Address — Full address (street, city, state/county, postal code, country)

Emergency contacts

Displays both primary and secondary emergency contacts (if provided). Each entry shows the contact name, relationship, and phone number. A visual indicator distinguishes primary from secondary contacts.

Employment details

  • Hire Date — With duration since hire displayed (e.g., "2 years, 4 months")
  • Employment Type — Full Time, Part Time, Freelance, or Contractor
  • Role / Job Title — The crew member's current position

Pay rates

A summary table of all configured pay rates:

  • Standard Rate — Default hourly rate
  • Overtime Rate — Rate applied for overtime hours
  • Weekend Rate — Rate applied for weekend work (if configured)
  • Holiday Rate — Rate applied for bank holiday or public holiday work (if configured)

All rates are displayed in the tenant's default currency with proper formatting.

Driver's licence

If the crew member holds a driving licence, this section shows the licence category, licence number, issuing country, and expiry date. This information determines eligibility for transport duties and vehicle assignments.

Internal notes

Private notes entered by administrators. This section is only visible to Core Admin and Core Manager users and is never displayed to the crew member themselves.

Tab 2 — Availability

The Availability tab displays a FullCalendar integration showing the crew member's availability windows on a monthly, weekly, or daily view. Entries are colour-coded:

  • Green — Available for scheduling
  • Red — Unavailable (blocked out by the crew member or an administrator)
  • Yellow — Tentative availability (may be available but not confirmed)

Click any date or time slot to add a new availability window. Click an existing entry to edit or remove it. Availability set here feeds directly into the Scheduler, so conflicts are detected automatically when assigning crew to projects.

Tab 3 — Certifications

The Certifications tab displays all certifications held by this crew member as a grid of cards. Each certification card shows:

  • Status Chip — Colour-coded: green for Active, red for Expired, amber for Pending Renewal, grey for Suspended
  • Certification Type — The name of the certification (e.g., IPAF, First Aid at Work)
  • Issuing Authority — The organisation that granted the certification
  • Certification Number — The unique certificate reference
  • Expiry Date — Displayed with a days-until-expiry indicator (e.g., "Expires in 23 days")

Cards are colour-coded by status: a green left border for active certifications, amber for those expiring within 30 days, and red for expired certifications. Click any card to view the full certification details or download the uploaded document.

Tab 4 — Timesheet

The Timesheet tab shows a table of all time entries for this crew member. Each row displays:

  • Clock In — Date, time, and location of the clock-in event
  • Clock Out — Date, time, and location of the clock-out event
  • Total Hours — Calculated duration of the shift
  • Total Pay — Calculated pay based on the applicable rate and hours worked
  • Approval Status — Chip showing Pending, Approved, or Disputed

Use the date range picker above the table to filter entries by period. Click the Export Timesheet button to download the filtered entries as CSV or PDF for payroll processing.

Tab 5 — Projects

The Projects tab lists all projects this crew member has been assigned to, both current and historical. Each row shows:

  • Project Name & Number — Clickable link to the project detail page
  • Role / Function — The crew member's role on that project (e.g., Lead Sound Engineer, Stagehand)
  • Date Range — Start and end dates of the crew member's assignment
  • Total Hours — Hours logged against this project
  • Status — Project status chip (Active, Completed, Cancelled)

The table can be sorted by any column and filtered by status to show only active, completed, or all projects.

Tab 6 — Documents

The Documents tab provides a file management area for documents related to this crew member. Upload and organise contracts, right-to-work documents, training records, and any other files. Each document shows its name, upload date, file size, and type. Documents can be previewed inline (PDFs and images) or downloaded.

Tips

  • Check certifications before assigning to projects — Use the Certifications tab to verify that all required qualifications are current before scheduling a crew member for a job.
  • Review timesheets weekly — Approve time entries promptly so payroll processing is not delayed. Disputed entries should be resolved with the crew member as soon as possible.
  • Keep availability up to date — Encourage crew members to maintain their availability calendar. Accurate availability data reduces scheduling conflicts and last-minute cancellations.
  • Use the Projects tab for performance context — Before writing a performance review, check which projects the crew member has worked on and the hours they contributed.
  • Upload right-to-work documents — Keep scanned copies of passports, visas, and work permits in the Documents tab for compliance record-keeping.
