Crew List Page
The Crew List page is your primary view of every person in your workforce — internal staff, contractors, and connected freelancers. It supports three view modes, role-dependent statistics cards, powerful search and filtering, five management tabs, and bulk operations for handling your team at scale.
View modes
The Crew List offers three view modes, toggled using the icon buttons in the top-right corner of the page. Your preference is saved to localStorage and persists across sessions.
List view
List view displays crew members in a data table with sortable columns. Columns include:
- Name — Full name with avatar thumbnail
- Status — Colour-coded chip (green for Active, grey for Inactive, amber for On Leave, red for Terminated)
- Employment Type — Full Time, Part Time, Freelance, or Contractor
- Internal Rating — 1–5 star rating based on performance reviews
- Skills — Top 3 skills displayed as chips, with a +N count if the crew member has additional skills
- Actions — Inline buttons for View, Edit, and more actions
Click any column header to sort ascending or descending. List view is best for data-heavy operations such as comparing ratings, reviewing employment types in bulk, and exporting filtered datasets.
Grid view
Grid view displays crew members as visual cards in a responsive grid. Each card shows:
- Avatar — Profile photo or initials placeholder
- Name and Employee Number (e.g., EMP-0042)
- Status chip — Colour-coded to match the crew member's current status
- Assigned Projects — Count of currently assigned projects
- Quick actions — Icon buttons for common operations (view profile, clock in/out, send message)
Grid view is ideal for visual team management, quickly identifying who is active, and getting an at-a-glance overview of your workforce.
Matrix view
Matrix view displays a skills matrix showing crew members along one axis and skills along the other. Each cell indicates the proficiency level for that combination. This view is designed for resource planning — quickly identifying who has which skills and at what level. Matrix view is a placeholder in the current release and will be expanded in future updates.
Statistics cards
At the top of the Crew List page, a row of statistics cards provides key workforce metrics at a glance. The cards displayed depend on your role:
All users
- Active Crew — Total number of crew members with an Active status
- Clocked In — Number of crew members currently clocked in via the Time Clock
- Expiring Certs — Number of certifications expiring within the next 30 days
Core Admin only
Core Admin users see three additional cards:
- Freelancers — Total number of connected freelancers
- Pending Invoices — Count of freelancer invoices awaiting approval
- Outstanding Payments — Total value of unpaid crew and freelancer payments
Search
The search bar at the top of the page performs full-text search across crew member name, email address, and skills. Results update as you type with a short debounce delay. Search works in all three view modes and combines with any active filters.
Filters
Click the Filters button to expand the filter panel. Available filters include:
- Status — Active, Inactive, On Leave, Terminated
- Employment Type — Full Time, Part Time, Freelance, Contractor
- Skill — Autocomplete multi-select from the predefined skills list. Filters to crew members who have at least one of the selected skills.
Active filters appear as dismissable chips below the filter panel. Click the × on any chip to remove that filter. Click Clear All to reset all filters at once.
Tabs
The Crew List page uses five tabs to organise different aspects of workforce management. Core Admin users see all five tabs; other roles see a subset based on their permissions.
- All Crew — The combined view of all internal staff and connected freelancers. This is the default tab and displays the list, grid, or matrix view described above.
- Applications — Pending freelancer applications submitted through your company's Join Crew page. A badge on the tab shows the number of unreviewed applications. Each application can be approved, rejected, or marked for follow-up.
- Freelancer Invoices — Invoices submitted by connected freelancers for completed work. Review, approve, or dispute invoices directly from this tab.
- Payments & POs — Payment management for crew wages and purchase orders. Track payment status, generate batch payments, and export payment reports.
- Invitations — Crew invitations that have been sent but not yet accepted. Resend, cancel, or track the status of pending invitations.
Bulk operations
Select multiple crew members using the checkboxes (list view) or card selectors (grid view). A bulk operations bar appears at the top showing the number of selected members and the following actions:
- Update Status — Change the status of all selected crew members (e.g., set a group to Inactive)
- Assign to Project — Add all selected crew members to a project in a specific role
- Export — Download selected crew data as CSV or Excel
- Send Message — Send a bulk notification or message to all selected crew members
Adding a new crew member
Click the Add Crew Member button in the top-right corner to open the crew creation wizard. See the Creating a Crew Member article for full details on the five-step creation process.
Tips
- Use grid view for daily team management — The avatar cards make it easy to visually scan who is active and how many projects each person is assigned to.
- Use list view for reporting and export — Sorting by rating, employment type, or skills helps you make informed staffing decisions.
- Check the Applications tab regularly — Freelancers who apply through your Join Crew page expect a timely response. The badge count makes it easy to spot new applications.
- Monitor expiring certifications — The Expiring Certs card alerts you to upcoming compliance issues before they become a problem on site.
- Combine search with skill filters — Search for a name and then filter by skill to find qualified crew members quickly when staffing a project.
